Support the smooth running of the inbound and outbound loads into the yard for transport and the warehouse.

Debrief of Knowles drivers overnight & weekends, logging any issues.

Strong PC based knowledge including an intermediate or knowledge of Excel spread sheets and web based systems

Good communication skills

Reliable in approach to work and adaptable to fit into different teams and environments

Must have own transport, full UK driving licence and ability to travel to work

Contact internal customers to resolve any queries or problem that may arise during shift

Communicate and handover to the opposite shift team member any issues from the previous shift via email or in person

LGV Mechanic

You will be required to undertake all aspects of vehicle maintenance, inspection and repair of our growing HGV fleet, joining a successful and well-established company and working alongside our team of mechanics.

You will have:

  • Minimum of 2 years’ experience or qualification in motor mechanics such as City & Guilds Vehicle Maintenance and Repair or a BTEC National Certificate in Vehicle Repair and Technology
  • Excellent knowledge about motor technology and a strong background in HGV vehicle servicing
  • Good communication skills, ability to concentrate when under pressure
  • Good manual dexterity, methodical and organised and able to work to strict deadlines
  • Be able to work alone and follow instructions
  • Must have own transport and full UK driving licence

 

Performing the following tasks:

  • Inspect vehicles to MOT standard
  • Diagnose and rectify all types of faults
  • Ensure all vehicles worked upon are handled carefully and that all precautions are taken whilst on the premises
  • Complete all paperwork as necessary
  • Ensure all aspects of H&S working practices are adhered to
  • Maintain a high standard of cleanliness and tidiness

Take an active role in the direction and delivery of all stock, to ensure best practice methods are used in the execution of all deliveries and ordering.

Accountable KPI’s

Customer Service – To ensure all paperwork is processed with accuracy – 100%

Advise Warehouse Area Manager of any orders that have unexpected delays within 2 hours of notification – 2 hours

Ensure all driver paperwork is processed within 24 hours of receipt – 100%

Key Accountabilities

Customer Service

  • Ensure effective and efficient customer service levels are maintained within the warehousing department by:
  • Keeping stock control systems up to date and making sure inventories are accurate
  • Transferring goods onto warehouse Management systems
  • Organisation of labour for any re-work required
  • Booking in containers
  • Printing labels for FLT drivers
  • Scanning of paperwork for customers
  • Management of In and Out paperwork and updating on any relevant systems
  • Checking goods inward
  • Building loads and allocation
  • Printing of delivery notes
  • Briefing drivers on a daily basis on outloads and deliveries
  • Supporting with customer visits and stock checks ensuring quality of service they receive is up to their required standard
  • Raise purchase orders and carry out required administration for this function
  • Monitor warehouse requests inbox
  • Raise transfer orders and carry out required administration for this function
  • Locate stock on the control system
  • Chase deliveries from suppliers and advise Warehouse Area Manager, Transport teams and supervisors of any delays
  • Deal with stock requisitions
  • Manage the returns
  • Aid with cleansing of control system in association with the Warehouse Area Manager
  • Carry out general stock administration
  • Speak to suppliers regarding prices
  • Achieve all set standards for the delivery/ordering of all items of stock and to achieve KPI targets using relevant systems

Communication

  • Contact internal customers to resolve any queries or problem that may arise with paperwork
  • Responding to and dealing with customer communication by email and telephone

  • Strong PC based knowledge including an intermediate or knowledge of Excel spread sheets and web
    based systems
  • Good communication skills: Responds to enquiries via telephone and email, providing support for both internal and external contacts.
  • Confident individual who can challenge when the need arises and at the appropriate level
  • Reliable in approach to work and adaptable to fit into different teams and environments
  • Highly organised, self-sufficient  and able to work on own initiative and to tight deadlines
  • Basic understanding of driver hours and working time directive
  • Some traffic office experience would be an advantage
  • Must have own transport, full UK driving licence and own transport to work

Accountable KPI’s

  • Customer Service – To ensure all paperwork is processed with accuracy
  • Advise Transport Operations Manager/ Customer Services  of any orders that been rejected or not reached destination or that have returns once notified
  • Ensure transfer POD’s are processed within 12 hours of receipt

Key Accountabilities

Driver Briefing

Debrief and brief drivers on arrival and departure collecting and checking all driver paper work.  Record any issues/discrepancies after debriefing drivers and resolve matters escalating to management level if required. 

Briefing

  • Brief to ensure the driver fully understands the work they has been asked to do. 
  • Check they are happy with using the phone app and an initial check that the details in RR match jobs and paperwork.
  • Make sure the driver also understands what paperwork or receipts (Tesco’s) are needed to come back.

Debriefing

  • Debrief to ensure that the paperwork handed in matches the details in RR.  Make sure all receipts are attached and the necessary signatures obtained.
  • Update RR with times in & out.
  • Ensure correct trailer number, driver name and unit is in RR.
  • Scan pod into the correct job.
  • Hand any pods with discrepancies to Customer Services for processing and pass scanned and clean pods to accounts team for filing and attaching to invoices
  • Liaise with driver, transport team and relevant collection point regarding any problems i.e. returns & shortages with a POD.
  • Sign in any phones/keys
  • Conducting live debrief throughout the day with all driver deliveries, in conjunction with other Administration team members to ensure that all planned deliveries and collection times are on track and feeding back to the Transport Operators any concerns, issues, lates or failures.

Data entry

  • Enter data on to traffic software system and excel based systems in accordance with the requirements
  • Ensure accuracy of data within systems at all times

Communication

  • Contact internal customers to resolve any queries or problem that may arise with paperwork
  • Communicate to Customer Service departments to advise of any issues with loads

Additional Team Support

  • Support traffic staff on all functions of the office as and when required.  Cover for absence, such as holidays for the other administrator within the team

Teamwork

The ability to multi‐task and work in a fast paced environment. Excellent verbal communication skills and the ability to communicate effectively with Customers and Co‐Workers. Ensuring a high standard of hygiene at all times, clean as you go work ethic (damages, spillages and general hygiene are maintained at all times)

Requirements:

  • Minimum of 1 years’ experience of working within a Warehouse environment
  • Fork Lift Truck Certificate, Counterbalance, Pivot, Flexi/Bendi trucks – Desirable: (MEWP) Scissor Lift Certificate

Customer Service

Ensure effective and efficient running of the warehouse function and customer satisfaction by: 

  • Taking delivery of goods and supplies
  • Storing of goods
  • Picking of goods
  • Preparation of stock
  • Loading of stock by hand, pump truck or forklift
  • Keep accurate records of stocks
  • Assisting with stock taking as and when required
  • Keeping warehouse and work area clean and tidy through use of chemicals and non hazardous equipment
  • Use of the correct methods for manual handling
  • Use of automatic wrapper to correct procedure
  • Completion of relevant paperwork
  • Correct completion of the picking and unloading paperwork and IT based systems
  • Ensuring cleanliness of stock and warehouse (this includes cleaning spillages and damages as they happen or on discovery)
